Our reasons for using your information

Data protection law requires a lawful basis for each use of personal information. Depending on the situation, we rely on:

  • Steps you ask us to take before a contract — for example, replying to your enquiry or preparing a quotation.
  • Performing a contract — delivering services you have agreed to buy.
  • Legitimate interests — responding to business enquiries, managing our customer relationships, keeping the website secure and improving our services, where this doesn't override your rights.
  • Legal obligations — for example, keeping tax and accounting records.
  • Consent — only where we specifically ask for it. You can withdraw consent at any time.

How long we keep it

  • Unsuccessful or inactive enquiries are kept only for a reasonable business period, then securely deleted or anonymised.
  • Customer and project records may be kept for the length of the relationship and afterwards where needed for tax, accounting, contractual, warranty, dispute or legal purposes.
  • Technical and security records are kept only for as long as reasonably needed for their operational purpose.

Who we share it with

Your information may be processed by carefully selected providers that support:

  • Website hosting and application infrastructure
  • Database storage
  • Transactional email delivery
  • Microsoft 365 and business email
  • Professional advisers such as accountants, insurers or legal advisers, where appropriate
  • Authorities or regulators, where legally required

Where personal information is transferred outside the UK, appropriate safeguards or recognised adequacy arrangements will be used as required by law.

Your rights

Subject to certain legal limits, you have the right to:

  • Access the personal information we hold about you
  • Have inaccurate information corrected
  • Have information erased
  • Restrict how we use it
  • Object to how we use it
  • Data portability, where applicable
  • Withdraw consent, where we rely on consent

To make a request, please email hello@cloudhouseit.co.uk first.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO): make a complaint to the ICO (opens in a new tab).
